For our KWS Berlin Global Business Operations organization, we are looking for a HR Admin & Payroll International Associate (m/f/d) with Spanish to join our growing International HR Administration & Payroll team. This is a full-time, 2 years contract position based in Berlin.

As a HR Admin & Payroll International Associate, you will play a key role in delivering accurate, compliant, and employee-focused HR administration and payroll services across multiple countries. You will support the complete employee lifecycle, collaborate with external payroll providers, and contribute to the continuous digitalization and optimization of our HR and payroll operations. Your work will help ensure an exceptional employee experience while maintaining high standards of compliance, quality, and efficiency. 

 

Your Tasks

As part of our International Admin & Payroll team, you will:

  • Ensure timely, accurate, and compliant payroll processing for your assigned countries in collaboration with external payroll providers. 
  • Collect, validate, and process payroll-relevant information, including employee data changes, absences, bonuses, working time, and other compensation elements. 
  • Perform payroll controls, reconciliations, and quality checks to ensure high data accuracy and payroll compliance. 
  • Manage HR administration activities across the entire employee lifecycle, including employment contracts, contract amendments, salary increase letters, promotions, and termination documentation. 
  • Maintain and update employee records within HR systems while ensuring data quality and integrity. 
  • Support monthly, quarterly, and annual payroll-related activities, reporting requirements, and audit requests. 
  • Ensure compliance with local labor laws, tax regulations, social security requirements, and internal policies across all assigned countries.
  • Drive continuous improvement initiatives by identifying opportunities for process standardisation, optimisation, automation, and digitalisation. 
  • Collaborate closely with HR Business Partners, managers, employees, payroll providers, and other stakeholders to ensure seamless service delivery. 
  • Contribute to knowledge management, process documentation, and the ongoing development of best practices within the team. 

 

Your Profile

You are passionate about delivering high-quality HR and payroll services in an international environment and enjoy combining operational excellence with continuous improvement. You bring:

  • Proven experience in HR Administration, Payroll, or a similar operational HR role.
  • Experience with full-cycle payroll processing and payroll controls.
  • Knowledge of employee lifecycle administration and employment documentation.
  • Understanding of labor law compliance and payroll-related regulations.
  • Strong analytical and problem-solving skills with excellent attention to detail.
  • A customer-focused mindset and a commitment to providing excellent service.
  • The ability to work independently while building strong relationships with stakeholders.
  • Experience working with HRIS and payroll systems (e.g., SAP SuccessFactors, SAP, or similar) is an advantage.
  • Experience in process improvement, automation, digitalisation, or shared service environments is considered a plus.

 

Language Requirements

  • Fluent English and Spanish
  • Additional languages such as German, French, Italian, Portuguese, Polish, or other international languages.
